Managed recovery for home improvement

Good estimates.
Unfinished stories.
Let's follow up.

We manage the follow-up on older unsold estimates and dormant qualified opportunities. From client-approved email outreach to reply handling, we do the recovery work and hand interested homeowners back to your sales team.

Start with a free fit assessment. No CRM login. No customer records.

More follow-through on the opportunities you already earned.Your CRM. Your customer relationships.

Built for high-ticket
home improvement.

  • Remodeling
  • Kitchens & baths
  • Windows & doors
  • Exterior replacement

A second look, with a real operator

The estimate went quiet.
The project may not have.

Budgets shift. Timing changes. A homeowner stops replying, and your team moves on to the next enquiry.

Not every old estimate is recoverable. The work is knowing what to leave alone, what deserves a careful follow-up, and who is ready to talk again.

We do that work with you. This is a managed service, not software your team has to operate.

The operating process

From a quiet backlog
to a clear next step.

We handle the recovery work.
Your team keeps the relationship.

01

Make the backlog usable.

We clean and prioritise an agreed export of older estimates and dormant leads. Contact restrictions, exclusions and record history help determine what is worth a closer look.

A reviewable shortlist, with reasons.
02

Reopen the right conversations.

You approve who we contact and what we say. We begin with a small, supervised email batch, manage the agreed follow-up and review the replies.

Managed follow-up, not another task list.
03

Bring your sales team back in.

When a homeowner expresses interest, we hand over the original opportunity, reply context and an agreed next step. Your team handles appointments, estimates and closing.

A clear handoff, not a mystery lead.

No outreach before your approval. No promise that an old lead will turn into a sale.

Make the work visible

You should know
what happens next.

Before a pilot starts, we agree what gets reviewed, what stays out and what an interested reply looks like. During the pilot, you can see the decisions and the handoffs.

ZE / FIELD NOTESIllustrative

A recovery effort,
with boundaries.

01 / REVIEW

Unsold estimates with enough history to understand the original enquiry.

02 / HOLD BACK

Opt-outs, closed jobs, ineligible contacts and records needing clarification.

03 / APPROVE

A small first batch, email copy, follow-up timing and reply-handling rules.

04 / HAND BACK

Homeowner interest, the conversation context and the next action for your team.

Start small. Learn something useful.

One backlog.
One focused pilot.
Thirty days.

For a business with the right records and capacity to follow up, a paid pilot puts the recovery process to work before you consider anything longer term.

Typical review scope500 to 2,000 historical records

Agreed CSV export. Not a purchased list. Final scope confirmed together.

PAID 30-DAY RECOVERY PILOT

A clear scope.
A controlled start.

Scope and price proposed after your free audit, before any customer export.

  • Cleaned and prioritised recovery shortlist
  • Exclusions and review decisions made visible
  • Client-approved email follow-up
  • Reply handling throughout the agreed campaign
  • Interested-homeowner handoffs to your team
  • End-of-pilot activity and outcome report

Careful by design

Your customers.
Your call.

Recovery should not come at the expense of customer trust. The boundaries are part of the service.

An agreed data boundary.

We work from an agreed export. Your original CRM stays in place. Data transfer, access and retention are settled before records are shared.

Your approval before sending.

You approve the records, exclusions, email channel, messaging and handoff rules. Opt-outs and suppression lists stay outside the campaign.

Human review, not blind automation.

Automation supports record preparation. Ambiguous records and replies need human judgement. We start with a small, supervised batch.

What do I get from the free Recovery Audit?

An initial assessment of whether recovery work fits your business, what kind of backlog would be worth reviewing, and a recommended next step. We use your company information and the context you share. We respond within one business day; that is a response commitment, not a promise to complete a full data audit in that time. No customer records, CRM login or payment is needed.

We already have a CRM. Why would we need this?

Your CRM remains the system of record. Zero Ember supplies the operating work around a defined backlog: reviewing the records, preparing a shortlist, running approved email follow-up, handling replies and handing interested homeowners back to your team. If your team already does this consistently, a pilot may not add enough value.

Which businesses are a good fit?

U.S. home improvement businesses with older unsold estimates or qualified homeowner enquiries, a usable record history, permission to contact the selected people, and a sales team able to follow up. Remodeling, kitchens, bathrooms, windows, doors and exterior replacement are the primary focus. This is not a service for buying lists or contacting strangers.

Do you need access to our CRM?

Not for the free audit. If we agree to a paid pilot, we work from an agreed CSV export, usually around 500 to 2,000 historical records. We do not ask for a CRM administrator password. The fields, secure transfer method, access and retention arrangements are agreed before customer data changes hands.

Who decides which homeowners can be contacted?

You confirm contact eligibility and provide the relevant permissions, exclusions, opt-outs and suppression lists. We flag records that need review and keep them out of the approved batch until resolved. You approve the audience, email copy and handoff rules before outreach. A record appearing in a CRM is not, by itself, permission to contact it.

Does the pilot include calls or text messages?

The current pilot is focused on client-approved email recovery. It does not include automated calls, SMS or a new CRM installation. We agree the sending setup, follow-up sequence and reply handling before starting, rather than adding channels without your approval.

What happens after the free audit?

The Recovery Audit is free. If the audit shows a fit, Zero Ember will propose a fixed-scope paid 30-day pilot before requesting any customer export. We agree the price, scope and responsibilities before you commit. The pilot includes backlog preparation, approved email follow-up, reply handling, homeowner handoffs and an end-of-pilot report. Any continuation is agreed separately.

Do you guarantee appointments or revenue?

No. Results depend on the quality and age of your records, contact eligibility, homeowner interest and your team's follow-through. The pilot is a bounded way to test whether a recovery process is useful for your business. We report what happened without treating every reply as a qualified opportunity.
